  • Course dates are published 6-12 months in advance of the course.
  • Requests are collected and listed as "Pending student selection".

  • Course attendance will be input by course end.

Requests

Requests can be made at any point until the course starts. The request will need to be approved by or made directly by the FoP.

  • Participants can submit requests, which need to be validated by Focal Points to continue, or
  • Focal points can submit the request.

From this point on, requests are immediately accepted or waitlisted

No further registration requests are possible

Changes

The FoP can make changes at any point up to the start of the course

Cancel as early as possible to free spaces for others.

Focal points can:

  • Move participants from one date to another
  • Replace one participant with another
  • Switch participants between registration and waitlisting
  • Cancel requests no longer needed (we thank you for doing this promptly so places can be reallocated)

Please keep changes to a minimum at this point.

No focal point changes are possible

Acceptance

Requests may be accepted on date requested, accepted on an alternative date, Waitlisted or refused

Waitlisting

Waitlisting begins

Waitlisted candidates and FoPs are informed if places become available: the first to confirm gets the place.

Waitlisted candidates and their FoP will have the option to cancel their request or move it to another course date

Communication

FoP immediately informed of outcome.

The outcomes can be:

  • Accepted on requested date
  • Accepted on alternative date
  • Waitlisted
  • Refused

Candidates may be informed two weeks later.

Candidates will be informed if:

  • They submitted the request
  • The organisation's preferences indicate they should be informed

Chosen participants sent confirmation email (with FoP in CC). They are informed of any changes to registration status.

One week before the start participants are sent a reminder email

  • Participant selection happens twice a year, approximately 2.5 months before each semester starts.
  • Course managers choose the most appropriate candidates, based on criteria such as geographical spread and job description.
  • Candidates who were previously waitlisted or who are following a programme may get priority.
  • Focal Point priorities will be taken into account.
  • If pre-requisites are not met, candidates may be refused, or waitlisted.
  • If dates are oversubscribed, candidates may be moved to later sessions!
